Aim

We are committed to the continued support of excellent discovery led research as detailed in EPSRC’s strategic delivery plan 2022 to 2025.

Overseas travel grants (OTGs) provide funding for visits overseas to learn new techniques, or form and develop collaborations.

Scope

You can apply for an overseas travel grant in any field of research relevant to our remit. We support high quality research in:

• artificial intelligence (AI)
• digital security and resilience
• energy and decarbonisation
• engineering
• healthcare technologies
• information and communication technologies (ICT)
• manufacturing and the circular economy
• mathematical sciences
• physical sciences
• quantum technologies

The majority of your research must fall within our remit.

We will work with other research councils to ensure that applications close to remit boundaries are assessed by the most appropriate lead council. We encourage you to contact us first to discuss your application if you believe your research may cross research council boundaries.

Duration

We expect you not to exceed a single visit of more than six months or multiple visits totalling up to 12 months.

Funding available

We will fund 80% FEC of your project.

What we will fund

We can support costs including:

• travel
• subsistence
• salary of project lead (previously principal investigator)
• indirect costs
• visas

You cannot claim estates costs or equipment (including laptops) on an overseas travel grant.

EPSRC reviewed its approach to responsive mode opportunities on the UKRI Funding Service following our October 2023 closing dates. For more information on our approach, including timelines, please see our transition web pages.

From November 2023, our approach to responsive mode will change. We will not publish closing dates for individual rounds, instead we will batch applications internally. You should apply when your application is ready for submission and not be concerned about a closing date.

Due to systems requirements a closing date will appear on the Funding Service approximately a year from the publication of this opportunity. Please do not wait for this date to submit your application, we will be processing applications throughout 2024.

Applications will be batched for assessment and sent to the most appropriate responsive mode panel meeting when they reach this stage of the process. Applications submitted in late 2023 and early 2024 are likely to be considered at panels in September 2024. Our responsive mode panel meetings are: Engineering, Information and Communications Technology (ICT), Mathematical Sciences, and Physical Sciences. These panels are expected to run on a quarterly basis after September 2024.

Due to the agile development of the Funding Service, we will need to make changes to this opportunity to allow technical updates or new policies to be implemented. No changes are planned to EPSRC responsive mode opportunities before November 2024. However, if updates are required, we will communicate these changes at least eight weeks before they are implemented (excluding major public holiday periods).

How to apply

We are running this funding opportunity on the new Funding Service. You cannot apply on the Joint Electronic Submissions (Je-S) system.

The project lead is responsible for completing the application process on the Funding Service, but we expect all team members and project partners to contribute to the application.

Only the lead research organisation can submit an application to UKRI. You cannot submit applications with more than one lead organisation.

1. Confirm you are the project lead.
2. Sign in or create a Funding Service account. To create an account, select your organisation, verify your email address, and set a password. If your organisation is not listed, email support@funding-service.ukri.org
3. Answer questions directly in the text boxes. You can save your answers and come back to complete them or work offline and return to copy and paste your answers. If we need you to upload a document, follow the upload instructions in the Funding Service. All questions and assessment criteria are listed in the How to apply section on this Funding finder page.
4. Send the completed application to your research office for checking. They will return it to you if it needs editing.
5. Your research office will submit the completed and checked application to UKRI.

We will not be returning applications for amendment. If an application is withdrawn prior to peer review or office rejected due to substantive errors in the application, then you will need to submit a new application.

EPSRC as part of UKRI, will need to collect some personal information to manage your Funding Service account and the registration of your funding applications.

Publication of outcomes

EPSRC, as part of UKRI, will publish the outcomes of this funding opportunity.

If your application is successful, we will publish some personal information on the UKRI Gateway to Research.

Explain why the proposed travel is necessary and where alternative approaches are not appropriate, including reference to:

• added value to existing or future research and innovation
• promotion of collaboration

• benefit to the countries, organisations and regions involved where appropriate
• why you are the best person to carry out this visit
• why the place you are travelling to is the best place to go to, in terms of people and resources
• why travel needs to happen at this time

For audit purposes, UKRI requires formal collaboration agreements to be put in place if an award is made.

What will you need to deliver your proposed work and how much will it cost?

What the assessors are looking for in your response

Justify the application’s more costly resources, in particular:

• project staff
• significant travel for field work or collaboration (but not regular travel between collaborating organisations or to conferences)
• any equipment that will cost more than £10,000
• any consumables beyond typical requirements, or that are required in exceptional quantities
• all facilities and infrastructure costs
• all resources that have been costed as ‘Exceptions’
• contribution from international partner in cash or kind

Assessors are not looking for detailed costs or a line-by-line breakdown of all project resources. Overall, they want you to demonstrate how the resources you anticipate needing for your proposed work:

• are comprehensive, appropriate, and justified
• represent the optimal use of resources to achieve the intended outcomes
• maximise potential outcomes and impacts

Reviewers and panels may acknowledge the impact of university support but will not consider the level of matched university funding as a factor on which to base funding recommendations.

Ethics and responsible research and innovation (RRI)

What are the ethical or RRI implications and issues relating to the proposed work? If you do not think that the proposed work raises any ethical or RRI issues, explain why.

What the assessors are looking for in your response

Demonstrate that you have identified and evaluated:

• the relevant ethical or responsible research and innovation considerations
• how you will manage these considerations

Within this section you can also demonstrate elements of your responses in visual form if relevant. You should:

• use images sparingly and only to convey important information that cannot easily be put into words
• insert each new image onto a new line
• provide a descriptive legend for each image immediately underneath it (this counts towards your word limit)
• ensure files are smaller than 5MB and in JPEG, JPG, JPE, JFI, JIF, JFIF, PNG, GIF, BMP or WEBP format

Additional sub-questions (to be answered only if appropriate) will be included in the Funding Service. These will ask about numbers, species or strain and justification about:

• genetic and biological risk

• conducting research with animal overseas

We reserve the right to adapt our peer review process should we receive a large volume of applications.

Peer review

We will invite at least three peers to review your application independently, against the published assessment criteria for this funding opportunity. If your application gains enough support from reviewers, we may approve funding without the need to go to one of our prioritisation panels. We aim to provide a faster turnaround on overseas travel grants.

You will not be able to nominate reviewers for applications on the new Funding Service. Research councils will continue to select expert reviewers.

We are monitoring the requirement for applicant-nominated reviewers as we review policies and processes as part of the continued development of the new Funding Service.

Panel

If your application needs to go to a panel for a decision, your application, reviewers’ comments and your response to reviewers will go to the most appropriate prioritisation panel.

Using this information, the panel will score it against our assessment criteria and rank it alongside other applications.

Applications will be batched for assessment and sent to the most appropriate responsive mode panel meeting when they reach this stage of the process.
